Per-client reporting subscriptions or prepaid credits: which costs less across a client list
A per-client subscription charges for every client connected, every month, whether or not you report on them; prepaid credits charge for the reports you actually run. Which costs less depends on your client list: how many clients, how many report every month, and how many pause or report quarterly. Here is how to work it out for your own book, without anyone's prices.

The two models, side by side
| Item | Per-client subscription | Prepaid credits |
|---|---|---|
| What you pay for | Each client connected, each month | Each action you run, at its standard price |
| A quiet or paused client | Still charged, unless you disconnect it | Costs no report that month |
| A quarterly client | Twelve months a year | Four reports a year |
| Budgeting the cost | One predictable monthly bill | A pack bought ahead, spent as you report |
| What usually comes with it | Live connections, team seats, forecasting | Whatever the product offers per action |
Neither is cheaper in general; each is cheaper for a particular shape of client list.
Work out the cost across your own client list
- List every client you would put on a reporting tool, with how often each is reported: monthly, quarterly, or seasonally.
- Count the reports a year each would need, and the months each would sit connected.
- Price the subscription at its tier for the number of clients connected, times twelve months, from the vendor's own pricing page.
- Price the prepaid route at each action's standard price times the reports a year, plus any monthly fee for keeping a client's data.
- Compare the totals, then add the time each takes in month two, which is where most of the cost of a monthly report sits.
A list where nearly every client reports every month favours a subscription's flat fee. A list with many quarterly, seasonal or paused clients favours paying per report.
When a subscription is the better model
- Most clients report every month and the list is stable.
- You want live connections, so nothing has to be uploaded.
- Several people in the firm need their own logins.
- Forecasting or consolidation is part of what you sell, and the subscription includes it.
When prepaid credits are the better model
- Your client list changes every month: clients pause, start mid-year, or report quarterly.
- The deliverable is the monthly report, and you want to pay when you produce one.
- You want to see the price of each action before it runs.
Magic MIS works this way: prepaid credit packs with no subscription, a standard price shown before each action, and a monthly memory fee for each company you keep. Bought credits expire after a period the terms set out. See the credit packs.
What firms weighing the two ask
Is prepaid always cheaper?
No. For a stable list where every client reports every month, a flat subscription can cost less. Prepaid wins where clients pause, report quarterly or come and go.
What does a paused client cost on prepaid credits?
No report that month. With Magic MIS, each company you keep still carries its monthly memory fee; delete a company you no longer need and that stops.
Do prepaid credits expire?
With Magic MIS, bought credits expire after the period the terms set out, and the soonest to expire are spent first.
Why compare month two rather than month one?
Month one is set-up in any tool. The cost that repeats is the time each month after, which is where tools differ most.
