Monthly management reports for New Zealand businesses
In New Zealand the monthly pack is called management reports or management accounts, and a board report where there is a board, often prepared by the business's accountant or a virtual CFO. It covers the profit and loss for the month and year to date, the balance sheet, cash, GST and PAYE owed, a few KPIs and commentary.

What a New Zealand monthly report covers
- One-page summary: revenue, gross profit, EBITDA, cash, and the two or three things that need a decision.
- Profit and loss for the month, year to date and last year. Most businesses balance on 31 March, Inland Revenue's standard balance date, so set the year to start in April; a January start makes April look like a whole year to date.
- Balance sheet, with GST, PAYE and KiwiSaver deductions owed shown apart from trade creditors: cash owed to Inland Revenue, not to suppliers.
- Cash and runway, if the business is burning cash.
- Debtors and creditors: debtor days, creditor days and the oldest balances.
- Budget against actual, with a reason for each variance that matters: how to compare them.
- Commentary: what moved, why, and what deserves attention.
GST returns and provisional tax make cash look strange in some months
GST is 15%. Revenue and expenses are GST-exclusive; debtors and creditors include it, so debtor days worked on GST-inclusive debtors read about 15% too high.
GST returns are filed monthly, every two months or every six months, and each is due on the 28th of the month after the period ends: 7 May for a period ending 31 March, and 15 January for one ending 30 November. Cash drops in the month a return is paid though nothing went wrong. Provisional tax does the same: for a 31 March balance date, the three instalments of the standard and estimation options fall on 28 August, 15 January and 7 May. One line in the commentary saves a worried board.
KiwiSaver at 3.5% puts a step into this year's staff costs
From the first full pay after 1 April 2026, employers contribute at least 3.5% of gross pay to their employees' KiwiSaver schemes, up from 3%, and the rate is due to rise to 4% from 1 April 2028. For a business balancing on 31 March, the whole of this year's staff costs carries the step and last year's does not. Say so beside the comparison with last year, or the board will look for a cause that is already known.
An Auckland engineering firm's September, six months into its year
| Item | September (NZ$) | Year to date, April to September (NZ$) |
|---|---|---|
| Revenue | 318,000 | 1,842,000 |
| Gross profit | 147,000 (46.2%) | 861,000 (46.7%) |
| Overheads | 109,000 | 655,000 |
| EBITDA | 38,000 | 206,000 |
| Cash at the month end | 264,000 | |
| GST payable, August and September | 58,700 |
EBITDA was NZ$38,000 in September. Cash will fall by about NZ$58,700 by 28 October, when the GST return for August and September is paid: that is GST collected for Inland Revenue, not a fall in trading.
The business is invented. In Magic MIS the AI writes sentences like those, and the engine fills every figure from the ledgers.
From Xero or MYOB, with no connection to set up
Export the trial balance as Excel or CSV at the month end and upload it. Each account is placed on a report line once and remembered, so the next month is a refresh. Guides: Xero, MYOB.
You get a checked Excel workbook, a board you change by chatting, Present for the meeting itself with the client's logo, commentary and Where to act (suggestions to consider, not tax, legal or audit advice), and a read-only link for directors that opens on a phone. Prepaid credits, no subscription, and every action shows its price before it runs: see the credit packs. It works in a desktop browser.
What New Zealand accountants and directors ask
Are management reports the same as management accounts?
Yes. New Zealand uses both names for the same monthly document; a board report is the version prepared for directors.
Can the financial year start in April?
Yes. Each company has its own financial year start; set April for a 31 March balance date and the year to date counts from there.
Does it file GST returns or calculate PAYE?
No. It reports what is in the trial balance, GST and PAYE owed included; filing stays with the business and its accountant.
Can it report in New Zealand dollars?
Yes. Figures are labelled in the currency the books are kept in; nothing is converted.
Is there a live Xero or MYOB connection?
No. You upload the trial balance export each month.
