Monthly management accounts as a bookkeeping add-on

The hardest part of a monthly management pack is a clean, reconciled trial balance, and bookkeepers already produce one every month. What clients don't get is the next step: what moved, why, and what to watch. Magic MIS turns the trial balance you already export into that pack.

Every figure shown here is invented for illustration. Nothing on this page is computed from anyone’s accounts.

What clients actually want from reporting

Ask a small-business owner and it is rarely a thirty-page pack. It is:

  1. Did we make money this month, and is that normal?
  2. Where is the cash, and is it going to be enough?
  3. Who owes us, and who are we paying late?
  4. Is anything quietly getting worse?

That fits on three pages: headline numbers, a short profit and loss against last month and last year, and five or six KPIs with a paragraph of commentary.

Bookkeepers are already holding the hard part

You know the ledgers, including the odd ones. You did the reconciliations, so you know the numbers are right. You talk to the client every month anyway. What stands in the way is time: building a pack per client in a spreadsheet, then rebuilding it each month when an account appears. Magic MIS places each ledger once per client and remembers it, so next month the new trial balance refreshes the pack and only new ledgers need placing.

A monthly routine that fits after the close

  1. Finish the reconciliations and the close as usual: the month-end close checklist.
  2. Export the trial balance and upload it.
  3. Review the checks and the draft commentary. The AI writes the words; every number in them is calculated by the engine and opens to its ledgers. Copy the commentary into your own document to edit it.
  4. Send the client a read-only link, which opens on a phone, and the Excel workbook.

A café group's October: sales up 5.4%, margin down 1.9 points

An invented client:

  • Revenue £84,200, against £79,900 last October: +5.4%
  • Gross margin 66.1%, against 68.0%
  • Staff costs 34.9% of revenue
  • Creditor days 41, against 30-day supplier terms

Sales were up 5.4% on last October but gross margin fell 1.9 points to 66.1%. Creditor days are 41 against 30-day terms.

The reasons, such as dairy and coffee prices or two suppliers being paid late, are yours to add from what you know of the books.

Pricing the service is your call; the cost per client is predictable

Prepaid credits, no subscription and no per-client plan: every action shows its price before it runs, and each company you keep has a monthly memory fee. See the credit packs.

The limits, said plainly: one login per account, with no team seats; no live connection, so you upload the trial balance; Where to act gives suggestions to consider, not tax, legal or audit advice, so check your own professional rules on what you may advise; and it prepares a report for your review, which it doesn't replace.

What bookkeepers ask

Do I need to be a qualified accountant to offer management accounts?

It depends on where you work and what you call the service. Check your professional body's guidance; Magic MIS doesn't change what you are allowed to advise on.

Which bookkeeping software works?

Any that exports a trial balance to Excel, CSV or PDF: Xero, QuickBooks, Sage, FreeAgent, MYOB, Zoho Books and more.

Can clients log in?

They get a read-only link you can withdraw at any time, not a login.

Is client data safe?

Each file is encrypted under a key belonging to that company alone, and no person on our side can open it.
