From a trial balance

Trial balance to balance sheet

A balance sheet is the trial balance's asset, liability and equity accounts, grouped into lines and arranged so that net assets equal capital and reserves. The step most often missed is the year's profit: the income and expense accounts still open in the trial balance have to be added to reserves, or the balance sheet will not balance.

A workshop's trial balance, and the balance sheet it becomes

An invented furniture workshop's trial balance at its year end, 31 March 2026:

AccountDebit (£)Credit (£)
Plant and machinery, at cost84,000
Accumulated depreciation30,000
Stock, counted at 31 March31,200
Trade debtors46,500
Bank18,900
Trade creditors27,400
VAT payable9,100
Bank loan25,000
Share capital10,000
Retained earnings brought forward47,000
Sales401,000
Cost of sales212,400
Wages and salaries98,600
Rent24,000
Other overheads19,800
Depreciation12,000
Bank interest2,100
Total549,500549,500

The same balances, set out as a balance sheet:

Balance sheet at 31 March 2026£
Plant and machinery, at cost84,000
Less accumulated depreciation(30,000)
Fixed assets54,000
Stock31,200
Trade debtors46,500
Bank18,900
Current assets96,600
Trade creditors(27,400)
VAT payable(9,100)
Net current assets60,100
Bank loan, due after more than one year(25,000)
Net assets89,100
Share capital10,000
Retained earnings brought forward47,000
Profit for the year32,100
Capital and reserves89,100

The profit of £32,100 is the sales of £401,000 less every expense in the trial balance; trial balance to profit and loss sets that half out line by line.

Three steps from a trial balance to a balance sheet

  1. Split the accounts. Assets, liabilities and equity go to the balance sheet; sales and expenses go to the profit and loss. Check the trial balance first: total debits must equal total credits.
  2. Group each balance sheet account into a line. Customer accounts into trade debtors, bank accounts into bank, accumulated depreciation against the cost it belongs to, and VAT, payroll taxes and loans into lines of their own.
  3. Carry the profit into reserves, then check. Add the year's profit, sales less expenses, to retained earnings. Net assets must equal capital and reserves to the penny; a difference means an account was missed or put on the wrong side.

The balance sheet does not balance until this year's profit is in it

Until the year is closed, the profit sits in the trial balance as sales and expenses, not in retained earnings. Leave those accounts out and the balance sheet is short by exactly the profit: £32,100 for the workshop. A monthly balance sheet works the same way, with the year's profit to date in place of the year's.

A balance on the wrong side changes the line it belongs on

Place each account by the side its balance is on, not by its name:

  • an overdrawn bank account is a liability, not negative cash;
  • a customer who paid in advance leaves a credit on debtors, which is money owed back;
  • VAT reclaimable is an asset, VAT payable a liability, even when both live in one account.

Magic MIS builds the balance sheet from the trial balance every month

Upload the trial balance as it comes out of your accounting software, in Excel, CSV or a text PDF. Each account is placed on a line once and remembered, so the next month is a refresh. The workbook holds the balance sheet in the layout of the company's framework (the UK Companies Act formats, US GAAP, IFRS or Schedule III), with the profit for the year carried into reserves, any account not yet placed on a line of its own, and nothing forced to balance. It is checked before it is delivered: the trial balance ties and the two sides agree. These are monthly management statements, not the accounts a company files. What people ask about turning a trial balance into a balance sheet

Is a trial balance the same as a balance sheet?

No. A trial balance lists every account's balance to prove that debits equal credits. A balance sheet takes only the asset, liability and equity balances and groups them into what the business owns and owes.

Why doesn't my balance sheet balance?

Usually the year's profit has not been added to reserves, an account was left out, or a balance was put on the wrong side. Net assets should equal capital and reserves exactly.

Which trial balance accounts go on the balance sheet?

Assets such as fixed assets, stock, debtors and bank; liabilities such as creditors, tax owed and loans; and equity, which is share capital and retained earnings. Sales and expenses go to the profit and loss.

Can I make a balance sheet from a trial balance in Excel?

Yes: tag each account with its balance sheet line in a column beside the trial balance and total the lines with SUMIF. Keep the tags, because next month's trial balance needs the same ones.
