From a trial balance
Trial balance PDF to Excel
To get a trial balance from a PDF into Excel, export it again from the accounting software as Excel or CSV if you can, because that keeps every amount a number. If the PDF is all you have, Excel for Windows can import its tables; expect to fix amounts stored as text and debit and credit markers in the same cell. Or skip the conversion: Magic MIS reads a text PDF trial balance as it is and gives back the statements in Excel.

What a PDF trial balance looks like once it lands in Excel
A trial balance copied or imported from a PDF rarely arrives as two clean columns of numbers:
| What arrives | What the spreadsheet needs |
|---|---|
| "Trade debtors 46,500.00 Dr" in one cell | The account in one column, 46500 in the debit column |
| "(9,100.00)" stored as text | 9100 in the credit column, as a number |
| The page heading again every forty rows | Removed |
| A carried-forward total at the foot of each page | Removed, or every total is counted twice |
Three steps from a PDF trial balance to a usable spreadsheet
- Ask the software for Excel or CSV first. Every accounting package exports a trial balance; a PDF is usually what someone was sent, not what the system can give.
- Import rather than copy. In Excel for Windows, Data, then Get Data, From File, From PDF lists the tables Excel finds in the file; choose the trial balance and load it. Excel for Mac does not have that option. A scanned PDF holds a picture, not text, and needs character recognition first.
- Clean it, then prove it. Split the Dr and Cr markers into debit and credit columns, turn amounts stored as text into numbers, and delete repeated headings and page totals. Total debits must equal total credits.
A trial balance that nets to zero is the proof the conversion worked
Debits less credits must come to exactly nothing. If they do not, the difference usually points at the fault: the net of a page that was skipped, a page total counted as an account, or an amount read with its sign the wrong way round. Count the accounts against the PDF as well; a short list means a page went missing.
Or skip the spreadsheet and upload the PDF
Magic MIS reads a text PDF trial balance directly. It rebuilds the table from the page, finds the columns by their headings, reads Dr and Cr markers and brackets, and leaves out repeated headings and totals; a scanned PDF it cannot read is refused with the reason. What comes back is not a copy of the trial balance but what it was wanted for: a checked profit and loss, balance sheet, cash flow and ratios in Excel, built only once the trial balance nets to zero. Each account is placed once and remembered for next month. Prepaid credits, no subscription, and every action shows its price before it runs: see the credit packs.
What people ask about getting a trial balance out of a PDF
Can Excel open a PDF?
Not as a workbook. Excel for Windows imports tables from a PDF through Data, Get Data, From File, From PDF; Excel for Mac does not have that option.
Why don't the amounts add up after converting?
They are probably stored as text, often because of a Dr or Cr marker, brackets or a stray space in the cell. Turn them into numbers and the totals come back.
What about a scanned trial balance?
A scan is a picture, so there is no text to import. It needs character recognition first, and every figure checked against the original afterwards.
Does Magic MIS give me the trial balance back in Excel?
No. It gives you what the trial balance is for: the profit and loss, balance sheet, cash flow and ratios built from it. For the trial balance itself, export it from your accounting software as Excel.
