Power BI for management accounts: when it is right, and when it is overkill
Power BI is excellent for interactive dashboards across many data sources, refreshed automatically, with someone who can model data and write DAX. For a monthly management pack it is often more tool than the job needs: you still build the mapping, the checks and the commentary. Magic MIS, the simpler route, wrote this page.

Where Power BI is the better tool
- Many data sources in one place: CRM, ecommerce, payroll, operations and the ledger, joined in one model.
- Interactive exploration: slicers, drill-through and cross-filtering for analysts who live in the data.
- Scheduled refresh through a gateway or connectors, with no files to upload.
- Enterprise governance: row-level security, workspaces and Microsoft 365 integration.
- Cost, if you already have it, and an ecosystem of connectors and templates for Xero, QuickBooks and others.
If your finance team has a BI analyst and the pack is one part of a wider reporting estate, Power BI is a sound choice.
What a monthly pack needs, and who builds it
| What the monthly pack needs | In Power BI you build | In Magic MIS |
|---|---|---|
| Ledgers grouped into a P&L and balance sheet | A mapping table and data model | Each ledger placed once and remembered |
| Checks that the balance sheet balances and totals tie | DAX measures and validation visuals | Run on every upload |
| KPIs: gross margin, debtor days, runway | DAX for each | Built in; add more by asking |
| Commentary: what moved and why | Written by hand outside the tool | Drafted, with every number filled by the engine |
| An Excel workbook the client keeps | Export, then rebuild the formatting | A checked workbook with live formulas |
| Explaining a figure to a director | Drill-through you designed | Click the figure: working, month, ledgers |
| Many small clients on different systems | A model and connector per client | Upload each client's trial balance |
What a Power BI management pack build involves
- Get the data in: a connector to the ledger, or a monthly trial balance in a known place.
- Build the mapping: a table assigning every ledger to a reporting group, kept up as ledgers appear.
- Write the measures: DAX for each line, subtotal and KPI, with year to date and prior-year comparisons on a proper date table.
- Design the report pages: profit and loss, balance sheet, cash and KPIs.
- Add checks that prove the balance sheet balances and totals tie to the trial balance.
- Write the commentary, outside the tool, by hand, every month.
- Publish and share, with workspaces and licences for every viewer.
For one large organisation that is a sensible investment. For twenty small clients on different systems, it is twenty projects.
A quick test for which route fits
Choose Power BI if three or more of these are true: you report on many non-accounting data sources together; you need scheduled refresh; someone on the team writes DAX comfortably; the audience explores the data rather than reading a pack; you are already inside a Microsoft-licensed organisation.
Choose a trial-balance-first tool if most of these are true: the deliverable is the monthly management accounts, written up; you produce packs for several small companies on different systems; nobody wants to maintain a data model; the board reads a pack rather than exploring it.
Magic MIS doesn't do live connections, scheduled refresh, non-financial data, consolidation or multi-user teams. If you need those, Power BI or a dedicated reporting platform is the better fit. What finance teams weighing Power BI ask
Can Power BI connect to Xero or QuickBooks?
Yes, usually through third-party connectors or templates. You still build the mapping, the checks and the measures.
Is Power BI good for small businesses?
It can be, if someone maintains it. For one owner's monthly pack, a simpler tool or a good Excel workbook is usually faster.
Can Magic MIS feed Power BI?
Yes. The checked Excel workbook, or the company's figures downloaded as Excel tables, can be a source for any tool, Power BI included.
How does Magic MIS make a dashboard without a data model?
It places your trial balance ledgers on report lines once, computes the pack and KPIs, and lets you change the board by asking, such as "make revenue a line chart".
