Clinics and healthcare practices
Management accounts for clinics and healthcare practices
A clinic's monthly pack shows revenue by who pays (patients, health funds or insurers) and what the clinicians cost as a share of it. Clinician pay is the largest cost in almost every practice, and the payer mix decides how fast the cash arrives. It is built from financial ledgers only, never patient records.

Every figure shown here is invented for illustration. Nothing on this page is computed from anyone’s accounts.
The seven measures a practice pack should show
| Measure | Formula | Why it matters |
|---|---|---|
| Revenue by payer | Private patients, health funds or insurers, programs, products | Payer mix drives margin and cash timing |
| Clinician cost % | (Clinician wages + contractor clinician fees) ÷ revenue | The practice's core efficiency number |
| Support staff cost % | Reception and admin wages ÷ revenue | Grows quietly as rooms are added |
| Rent % of revenue | Rent ÷ revenue | Shows how well the rooms are used |
| Insurer receivable days | Fund and insurer receivables ÷ fund revenue × days | How long third-party payers take |
| EBITDA margin | EBITDA ÷ revenue | Before depreciation of equipment and fit-out |
| Prepaid packages | Treatment packages paid in advance | Revenue still owed back in treatments |
Revenue per clinician hour and utilisation need appointment data, which a trial balance doesn't hold.
What Magic MIS computes, and what you work out from its ledgers
Every month: revenue, staff costs as a share of it, EBITDA and its margin, debtor days, cash and the board's runway lens. The splits by payer, clinician against support staff, and rent aren't separate figures on the board: the payer and wage ledgers sit behind revenue and staff costs, one click away, and the formulas above take them from there.
Five mapping traps in a practice's books
- Contractor and employed clinicians. Many practices have both; keep their costs together so the clinician ratio compares month to month.
- Prepaid treatment packages are deferred revenue until the sessions are given.
- Tax differs by line. Many health services are exempt while product sales are taxable; keep product sales on their own ledger.
- Leased and owned equipment. A lease payment is an expense; owned equipment is depreciated.
- Patient detail never goes in. Upload the trial balance, not patient lists or clinical records.
Harbourside Physio, an invented practice, pays half its revenue to clinicians
From the practice's trial balance over the six months to December 2025, in Australian dollars, worked by hand:
| Measure | Working | Result |
|---|---|---|
| Revenue | Private 864,200 + funds and insurers 412,600 + programs 96,400 + products 38,200 | A$1,411,400 |
| Funds and insurers' share | 412,600 ÷ 1,411,400 | 29.2% |
| Clinician cost % | (Wages 486,400 + contractors 214,600) ÷ 1,411,400 | 49.7% |
| Debtor days | Patient and fund receivables 72,800 ÷ revenue for October to December 2025, 682,220, × 92 | 10 days |
The debtor days are worked on the last three months, as the board works them. Contractor clinician fees are 44% of employed clinician wages, so the mix is worth reviewing when rosters are next set.
In Magic MIS, the same books loaded a month at a time give this board for December 2025:
Magic MIS wrote these sections of the commentary for December 2025, word for word. The AI wrote the sentences; the engine filled every figure, and each one opens to its ledgers on the board:

From the trial balance to the practice pack
- Export the trial balance from Xero, MYOB, QuickBooks or your system as Excel, CSV or PDF. There is no live connection.
- Upload it. Each ledger is placed once on a line of the report, by rules first and the AI only for what the rules can't place; check the payer streams, clinician costs and packages on the ledger map.
- Get a checked Excel workbook with live formulas, a board you change by chatting, and the month written up.
- Next month, upload the new trial balance: the placing is remembered, so it is a refresh, not a rebuild.
Click any figure on the board to see its working, the month and the ledgers behind it. It is prepaid credits with no subscription, and every action shows its price before it runs; see the credit packs.
What practices ask before they upload
Does Magic MIS see patient data?
No. It works from the trial balance, which holds financial ledgers only. Don't upload patient lists or clinical records.
Is our financial data safe?
Each file is encrypted under a key belonging to that company alone, no person on our side can open it, and every opening is recorded where you can see it.
Can it report per clinician?
The board reports the practice as a whole. Where the books keep clinician-level ledgers, they show in the detail behind each figure; most practices report clinician productivity from their practice management system.
We have three clinics. Can it combine them?
No. There is no consolidation: each company gets its own pack.
