Management accounts and the MIS from an Odoo trial balance

In Odoo Accounting, open the Trial Balance from the Reporting menu, choose the month with the date filter, and export it as XLSX. Upload the file to Magic MIS and you get the month's management accounts or MIS, KPIs and commentary.

Every figure shown here is invented for illustration. Nothing on this page is computed from anyone’s accounts.

Open the Trial Balance and export it as XLSX

In recent Odoo versions the Trial Balance sits with the ledger reports on the Accounting app's Reporting page. Before exporting:

  • Date: this month, last month, or a custom range for the month you are reporting.
  • Comparison: the same period last year, or the period before, if you want comparatives in one file.
  • Journals: leave all selected.
  • Entries: posted entries only, the default. Unposted entries don't belong in a management pack.

Then click XLSX. Source: Cybrosys, Odoo 19 Accounting, ledger reports.

Odoo Community may need a reporting module first

The built-in Trial Balance is part of Odoo's paid Accounting app; Community users often can't see it without an add-on reporting module (Odoo forum). Check your edition and modules first. Any export that lists every account with its balance for the period works.

One company, its own currency, every account placed once

  • Multi-company databases: select one company before exporting. Magic MIS reports each company on its own and doesn't consolidate.
  • Currency: export in the company's own currency (AED, SAR, EUR and so on). Every figure is labelled in the currency the books are kept in; nothing is converted.
  • Account codes follow each country's localisation, so a UAE chart differs from a Belgian one. Each account is mapped once to a line of the report, by rules first and the AI only for what the rules can't place, and every choice can be changed on the company's ledger map. Next month only accounts that are new need placing; the rest are remembered.
  • Draft entries don't appear in a posted-only report. Post or remove them before the month end.

Four Odoo export mistakes

  • The consolidated view of a multi-company database exported instead of one company.
  • Unposted entries included.
  • The General Ledger exported instead of the Trial Balance. The ledger lists every line; you need one balance per account.
  • A period that doesn't match the financial year. Check the company's fiscal year before taking year-to-date figures.

A Riyadh distributor's October in Odoo, in riyals

An invented distributor: revenue SAR 3,420,000, cost of revenue SAR 2,530,800, operating expenses SAR 588,000.

  • Gross margin = (3,420,000 − 2,530,800) ÷ 3,420,000 = 26.0%
  • Operating profit = 889,200 − 588,000 = SAR 301,200
  • VAT payable, at 15% in Saudi Arabia, sits in current liabilities until the return is paid.
