Compared: the Excel template
An alternative to rebuilding your Excel management accounts template every month
An Excel template is the right tool for one or two companies with a stable chart of accounts and time to maintain it. It breaks down when new ledgers appear, links go stale and the same charts are redrawn each month. Magic MIS keeps Excel and drops the rebuild.
Free to create. No subscription.
What an Excel template does well
- It is free, and already installed; every accountant knows it.
- Total control over layout, KPIs and formatting.
- It is transparent: anyone can click a cell and see the formula.
- It works offline, with any system that exports a trial balance.
For a single company with a stable chart of accounts, a well-built template is genuinely hard to beat.
The template isn't the cost; the monthly rebuild around it is
| Every month in a template | What usually goes wrong |
|---|---|
| Paste the new trial balance | Rows shift and lookups point at the wrong line |
| Map new ledgers | A new ledger has no home and silently drops out of the totals |
| Check the totals | The balance sheet doesn't balance; finding the difference takes an hour |
| Redraw the charts | The same charts, one month longer, again |
| Write the commentary | Numbers typed into sentences by hand, one of them from last month's version |
| Repeat per client | Twenty clients, twenty templates drifting apart |
Keep Excel, lose the rebuild
Magic MIS takes the trial balance you already export, from Xero, QuickBooks, Sage, Tally, Zoho, DATEV or anything else, as Excel, CSV or PDF, and:
- Places every ledger on a report line once, and remembers it. A new ledger is the only one placed next month.
- Builds the pack and runs the checks before anything is delivered.
- Gives you a checked Excel workbook with live formulas. It is yours: open it, change it, send it.
- Builds a board you change by asking: "add debtor days to the board", with Undo.
- Writes the month up. The AI drafts the words; every number in them is filled by the engine from your ledgers.
- Refreshes next month on the same mapping, the same pack.
Every figure on the board opens to its working, the month and the ledgers it came from, just as clicking a cell does in Excel.
Side by side
| Item | Excel template | Magic MIS |
|---|---|---|
| Cost | Free | Prepaid credits, no subscription; each action priced before it runs |
| Control over layout | Total | A standard pack; the board changed by chat; full control in the workbook |

| Checks | Whatever you build | Run every time |
| Commentary | Typed by hand | Drafted words, engine-filled numbers, reviewed by you |
| Tracing a figure | Click the cell | Click the figure: working, month, ledgers |
| Many clients | One template each, drifting | One mapping each, remembered |
| Offline | Yes | No: a desktop browser |
Moving one client off the template, step by step
- Export last month's trial balance from the client's system as Excel or CSV.
- Upload it, and check where its ledgers were placed against your template's groupings, so the totals match what the client already sees.
- Compare the two packs: revenue, gross profit, net profit and the balance sheet totals. Where they differ, a ledger is usually placed differently; change it on the ledger map.
- Set the conventions: when the financial year starts, the currency the books are kept in, how dates are written.
- Next month, upload only the new trial balance. Keep the template one more month as a cross-check, then retire it.
Stay with the template if it is one company with a stable chart and a layout the board loves, or a bespoke report no standard pack matches. Switch when you maintain templates for several companies, new ledgers keep breaking things, or the commentary is written last, late, with numbers typed by hand. Building it yourself? What template users ask
Do I lose Excel if I use Magic MIS?
No. You get a checked Excel workbook with live formulas every month, and it is yours.
Can I keep my own template layout?
The workbook follows Magic MIS's standard pack. You change the board by asking, and edit the workbook however you like.
Which accounting systems does it work with?
Any that exports a trial balance. There is no live connection; you upload each month.
Is the AI writing my numbers?
No. The AI writes the words. Every figure is calculated by the engine and traceable to its ledgers.
